Ardens are unable to report on Residential Institute (RI) codes, we therefore advise you create the below reports so that you can monitor whether patients should have an RI code added and or a read code added for either care home patients or patients who are no longer Care Home residents. This Support Article goes through the types of reports you would need to create along with the steps required to amend a patients record.


Creating a report to identify patients with an RI Code but without A Read Code

  • Go to Reporting >Clinical Reporting > New.
  • Set the Name, Category and Sub category as required.
  • In the Registration folder select Branch & Residential Institute.
  • Then select the required RI Codes and move them from the left to the right window as below.
  • Click OK at the bottom when finished.


Tip: Adding reports to your favourite list makes them both easier to find and makes joining with Ardens reports much simpler.  To add, right click on the report name and add to favourites.  The report will be added to your favourites node on the clinical reporting screen.


  • Go to Ardens Ltd> Conditions | Frailty and End of Life > Registers > Nursing or Residential Home Resident right click and select Add To Favourites to also add this report to your favourite list.
  • Select both of these reports in your favourite list and click Join at the top left hand side of the screen.
  • Clicking Join will bring up the below screen.  Set the Name, Category and Sub category as required.
  • Using the Join Type, make sure you have chosen the option that looks for patients that have a residential Institute code and not a nursing or residential Home Resident code such as below.
  • Click OK


Review records

Run the search above and then Right-Click > Breakdown Results. Then select Registration > Residential Institute as highlighted below and click Refresh to update the search.



Check each patient to see if either of the below codes need to be added to the patient record:

  • Lives in a nursing home - 13F61
  • Lives in a residential home - XaImT 
  • Lives in care home - XaMFG 


If a patient is no longer in a residential home then remove the RI option from the patients record.  To do this, go into the patients record - select Patient at the top left hand side of the screen > Patient Maintenance > Patient Care (IOS).  Dropdown the Residential Institute box and change to N/A.  Click OK at the bottom of the screen and Save the patients record.

highlight the above report that you created and click Copy on the top left hand side of the clinical reporting screen.

  • Set the Name, Category and Sub category as required.
  • Using the Join Type, make sure you have chosen the option that looks for patients that have a nursing or residential Home Resident code but not a residential Institute code as below.
  • Click OK.



  • Run the search and if your joined report contains patients; go into each of the patient records and either add a residential code as above or add  'Lives in own home (13KD.)' or 'Discharge home (XaApt)' if applicable.


N.B.

1. These reports will need to be re-run periodically. 

2. Every residential institute has a local authority code. To view the codes you have recorded on SystmOne go to Links > Residential Institute Codes.

3. When creating new codes,  two new RI codes have been created that can be used nationally:

    V0 – is to be used for patients who reside in a care/residential home
    Y0 – is to be used for students who are residing at a school or university.

    

Please note that the in the code is a zero.
